Phoenix Model Flying Club - Privacy Policy

At the Phoenix Model Flying Club (“the Club”) we are committed to protecting and respecting your privacy.  One of our Committee Members acts as our Data Protection Compliance Manager – currently Peter Thompson carries out this role.  You can contact him by email at dpcm@phoenixmfc.org.

Below we explain when and why we collect personal information about you, how we use it, when we may disclose it to others, how we keep it secure and your rights regarding your data.  By becoming a Member of the Club, you are agreeing to be bound by this Privacy Policy. If you are under the age of 16, we will also need the consent of a parent or guardian to store and process your data.  We may occasionally make changes to this policy, but the latest version will always be available on the Club website (phoenixmfc.org).

How do we collect information?   We ask you for personal information when you apply to join the Club, either via our website, by email, by telephone or in person.

What type of information is collected?   We ask for information to establish your identity, to ascertain your model flying experience and ability, your status with the BMFA and to enable us to communicate with you.  

How is your information used?   Your information is used to enable the Club to provide Member services and operate in a safe and lawful manner.  The Club may use your information to seek your views, to advise you of news relating to the Club and its facilities or model flying in general.

Who has access to your information?  Only Club Committee Members have full access to your information.  Your information will not be sold or rented to third parties, nor will it be shared with third parties for marketing purposes.  Your information will not be shared with other Club Members unless you give us specific permission to do so. We may share your information with the BMFA, as membership of that organisation is a condition of Membership of the Club.  From time to time, we may be able to offer additional facilities that require release of your data to third parties (e.g. opening of entrance gate by mobile phone*) but this information will not be released without your specific permission to do so, and then for that one occurrence only.  Your information could be released where the law obliges the Club to do so – e.g. as the result of a court order.

How long do we retain your information?  Your information will be retained while you are a Member of the Club.  When you leave the Club, your information will be deleted entirely within 3 months.

What are your rights to access?  You have the right to see your information and you may request a copy, which will be provided in electronic format.

How can I see my information?  You just need to email dpcm@phoenixmfc.org with “Data Request” as the subject.  We will then verify that the request is from the owner of the data and you will receive a statement within 30 days.

What are your rights to rectification?  You can amend some of your information yourself, via the Members Area of the Club Website.  Log in to the Members Area and select “Profile” and you can alter your email, password, postal address and telephone numbers.  If you need to change other data (e.g. your BMFA achievement rating, or whether you are Jet Approved) you have the right to ask us to change incorrect information, although we may need to confirm the validity of the alteration from other sources.

What are your rights for deletion of information?  In some circumstances you have the right to the deletion or erasure of your information – for example, you leave the Club and want your record erased immediately, rather than wait up to 3 months.  Please note that a request for total data erasure from a current Member would require that Member to forfeit membership, as we require certain information to properly administer and manage the Club.  If there is a specific item of data that you would like deleted, please email dpcm@phoenixmfc.org and we will let you know if circumstances allow us to do so.

What are your rights to object to processing?  You have the right to object to our processing of your personal data for direct electronic communication purposes.  We will cease such processing on request. Please note that all communications that we send electronically include an “unsubscribe” button at the bottom.  So, if you prefer, you can effect such a change yourself by clicking on “unsubscribe”.

What are your rights to complain to a supervisory body?  If you consider that our processing of your information infringes data protection laws, you have a legal right to lodge a complaint with the Information Commissioners Office.   https://ico.org.uk

What are your rights to withdraw your consent?  To the extent that the legal basis for our processing of your information is consent, you have the right to withdraw that consent at any time.  Withdrawal of consent will not affect the lawfulness of processing before withdrawal. Withdrawal of your consent may mean that you must forfeit your Membership.

* If you would like to be able to open the gate via your mobile phone, you must give us your consent to release some of your data (your name, your mobile phone number and your status as a Club member) to Savills UK Ltd.  You can see Savills latest Privacy Policy by entering "savills uk corporate privacy policy" in any internet search application.  As explained above, you have the right to withdraw your consent at any time - your details will then be deleted from Savills system within 30 days but you will of course lose the facility to open the gate using your mobile phone.
